JOB TITLE : ESTATES ASSISTANT (1 VACANCY)
REPORTS TO : ESTATES OFFICER
JOB PURPOSE : PROVIDE ESSENTIAL HANDS-ON SUPPORT TO ENSURE THE
SMOOTH OPERATIONS AND MAINTENANCE OF UNOC’S
OFFICE FACILITIES.
ESSENTIAL DUTIES
- Respond promptly to maintenance requests and coordinate repairs.
- Conduct routine inspections to identify and resolve issues proactively.
- Ensure all offices are safe, functional, and compliant with health and safety standards.
- Assist with setting up new office spaces or reconfiguring existing ones.
- Coordinate with vendors and contractors for furniture, equipment, and utilities.
- Oversee daily operations at various office sites.
- Ensure site-specific issues are addressed efficiently and effectively.
- Maintain accurate records of leases, service contracts, and compliance documentation.
- Support budgeting processes, including tracking expenses and preparing reports.
- Ensure all estate-related activities comply with legal and organizational standards.
- Maintain up-to-date documentation for audits and inspections.
- Facilitate planned preventive and curative maintenance.
- Undertake any other duties and responsibilities as may be assigned from time to time by the supervisor(s).
Qualifications & Experience
- An Ordinary Diploma in Architecture, Mechanical, Civil Engineering, Construction
Management, or any other relevant discipline from a recognised training Institute - Minimum of three (3) years of hands-on experience or contractor/service provider and
site supervision in electrical or construction or mechanical works from reputable
corporate companies/organizations - Experience in Estates and Utilities Management and supervision works is an essential
requirement. - Knowledge and/or experience in procurement and supplies management procedures
is an added advantage - Working knowledge of office management systems, procedures and equipment.
- Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint and MS Outlook)
Skills and Competencies
- Basic knowledge of building systems (electrical, plumbing, HVAC)
- Familiarity with facilities management software and tools
- Excellent communication skills
- Excellent problem-solving skills
- Strong ability to multitask and prioritize tasks across multiple sites
- High level of integrity
- Demonstrable passion for own work and self-discipline
