General Summary

The Facilities Assistant is a member of the Site Services & Security Management Team within the Operations Unit of the Finance and Administration Department. The position is responsible for supporting the effective management of facilities by maintaining high standards of cleanliness, safety, and functionality across the organization’s premises. The Facilities Assistant ensures that all assigned areas provide a safe, clean, and conducive environment for staff, visitors, and stakeholders while ensuring compliance with organizational policies, standard operating procedures, health and safety requirements, and environmental standards

Key Responsibilities

  1. Supervise cleaning activities to ensure facilities are clean and hygienic.
  2. Ensure washrooms, kitchens and common areas are maintained to required standards
  3. Assist in the maintenance and upkeep of buildings, offices and surrounding premises.
  4. Prepare training rooms before each session according to the training schedule and arrange chairs and tables based on the required seating arrangement
  5. Conduct routine inspections to identify maintenance needs and report defects.
  6. Coordinate repairs with contractors and service providers
  7. Monitor the condition of furniture, fixtures and equipment
  8. Coordinate waste collection and disposal services
  9. Ensure proper waste segregation and compliance with environmental and health regulations
  10. Maintain an inventory of office furniture, equipment and facilities assets
  11. Report damaged or missing assets and assist in asset verification
  12. Manage the firefighting equipment and fire detection devices available on the premises
  13. Perform other related duties as assigned
  14. Respond to emergencies when called upon.

Academic Qualifications

  • a) The ideal candidate for this role should hold a Diploma from a recognized institution in any field
  • b) Good training in facilities management-related procedures and practices
  • c) Computer skills and Knowledge of MS Word, Excel

  2. Good training in facilities management-related procedures and practices
  3. A minimum of five (3) years of experience in managing facilities in any reputable organization/ industry
  4. Good written and verbal communication skills
  5. Critical thinker and problem-solving skills
  6. A sense of ownership and pride in performance and its impact on the company’s success
  7. At least Class “A” Valid Driving/riding permit
  8. A Self-starter with leadership, supervisory, and negotiation skills
  9. Notable record-keeping for key facilities maintenance-related tasks
  10. Computer skills and Knowledge of MS Word, Excel
  11. Knowledge of report writing skills and ability to interact with all levels of management
  12. Self-motivated, innovative, and capable of meeting deadlines
